Backdated payments

For academic year 2022/23, we're continuing the extended period for considering backdated payments.

New eligible learners may have payments backdated to the start of their course, if Student Finance Wales (SFW) receive their application within 13 weeks of the course start date.

If SFW receive an application more than 13 weeks after the course start date, the learner will only be eligible for backdated payments from the approximate date SWF received their application.

Payments remain subject to a positive confirmation of the EMA Learning Agreement. Please encourage learners to agree as early as possible.

Adherence to Service Standards

Please check your learners’ information is correct before submitting your weekly attendance confirmations. We require you to return a weekly attendance confirmation for each leaner. Please mark learners as either ‘in attendance’ or ‘not in attendance’.


Accurate and timely attendance confirmations allow us to proceed with payments of EMA in line with learners’ expectations and we recognise EMA plays a part in supporting a leaner's financial needs.

You must make your weekly attendance confirmations on the Learning Centre Portal. This must be complete before 5pm on Wednesday for the previous week.

We monitor your returns to ensure compliance with the Service Standards. Please make sure you submit confirmations of non-attendance and notifications of any removals in plenty of time.


Performance report

You should check your attendance confirmations performance report regularly. This report lets you track your performance in real time. You can also check your average days to sign a learning agreement too. There is more information on how to use the report in the Learning Centre Portal guidance.


Half term

Please make sure you've entered your holidays by Friday 28 October, before the half term starts. This allows us to confirm that week as a holiday week on your behalf. There is more information about entering holidays in the guidance notes.
